Administrative Assistant – Financial Aid Office
The Financial Aid Department is currently seeking an Administrative Assistant. The primary purpose of this position is to support the efforts of the financial aid office to assist in the recruitment and retention of students by providing efficient administrative expertise, exhibiting strong interpersonal skills in relating to students, parents, and staff, and possessing a solid capacity for data processing and analysis.
· Serve as the primary receiver for all incoming phone calls
· Serve as the primary receiver for all appointments and walk-ins
· Serve as the primary receiver for all incoming general financial aid emails
· Assist students and their families in an efficient and courteous manner
· Receive and distribute all incoming mail
· Prepare the majority of the outgoing mail
· Contact students for missing documents and incomplete financial aid files
· Assist with communication to select populations as necessary
· Submit social media postings
· Provide general information about federal, state, and institutional financial aid programs, regulations, and procedures for applying for financial aid
· Maintain filing system including the purging and shredding of student files after the mandatory retention period
· Keep track and order materials as needed
· Assist with college events such as Workshops, Open Houses, Accepted Student Days and Orientations
· Assist with the Federal Perkins Loan and Federal Work Study programs as needed
· Assist with generating and printing first award letter packages for mailing
· Assist the Director in reviewing reports and surveys for data accuracy
· Keep abreast of Title IV regulations, along with state and institutional policies and procedures
· Maintain working knowledge of the general services provided by Student Accounts, Registration, Academic Advising, and Admissions to respond to inquiries appropriately and accurately
· Perform Quality Assurance checks of student aid files to ensure accuracy and compliance
· Review and prepare students’ files for aid packaging
· Maintain and update the office Daily and Workflow calendars and the Policies and Procedures manual (electronic and paper)
· Manage the team’s appointments
· Manage the office purchases and reconciling the office budget
· Manage storage room and office files
· Assign student worker duties
· Post withdrawal dates and send required exit counseling materials
· Assist with the duties of the financial aid assistant in their absence
· Assist team as needed
· Ensure office coverage
· Maintain confidentiality and discretion
· Other duties as assigned
Elizabethtown College
High school diploma is required; plus, two years of administrative experience; or equivalent combination of education and experience. Preferred Qualifications Associates degree Previous financial aid experience
