Job Description:

The Penn State Office of Student Aid is seeking an Assistant Director of Scholarships and Special Programs to assist in awarding of scholarships and supporting of special populations for the Office of Student Aid. This position will assist the Director of Scholarships and Special Programs in the management and supervision of the Scholarships and Special Programs staff and scholarship processes by providing appropriate direction of the shared vision for the achievement of the Office of Student Aid’s strategic plan. Provide advice and counsel to the scholarship area’s team Director on the prevention and resolution of any personnel conflicts. This position will act in the absence of the Director to provide leadership and direction to staff.

 

Penn State’s Office of Student Aid is responsible for administering and tracking over $1.2B in Federal, State, University, and private/external student aid funding. These programs assist over 75,000 undergraduate, graduate, and professional students each year. The work of this position impacts Penn State’s approval to participate in Federal and State Student Aid programs which comprise the majority of the $1.2B in student aid funding at the University.

 

The Assistant Director is also responsible for:

  • Developing and maintaining a comprehensive and historical knowledge of all federal, state and University student aid regulations, policies, and procedures.
  • Assisting in the analysis of these regulations and in the integration of complex federal student aid legislation into the development, planning and implementation of Office of Student Aid strategic plans.
  • Assisting in the awarding, coordination, and administration of over $20M in University Scholarship funds.
  • Managing and maintaining the award section of eSteward.
  • Acting as the key staff member in the programming of program criteria strings according to University Endowments and Annual Funds guidelines and revisions.
  • Performing ongoing troubleshooting of eSteward processes.
  • Interacting at high analytical level with programming and data team for problem resolutions.
  • Appropriate stewardship of financial need data, FERPA confidentiality policies, and FN-09 policies in regard to eSteward.
  • Training, both individually and as part of a team Campus, College, and other administrative units in support of eSteward/student system awarding.
  • Providing information and support to all Office of Student Aid staff via phone and email regarding these programs.
  • Working with Office of Student Aid’s Application and Eligibility Services staff to monitor both eligibility and review aid processes.
  • Substantially interacting with the office programming staff to resolve student system issues and assist with testing and specification development.
  • Acting as the point of contact for Office for Disability Services, Student Engagement Network and Undergraduate Education.
  • Coordinating the University’s Campus and College Scholarship Network with the Office of Student Aid.

 

The successful candidate will provide financial aid counseling to students and parents regarding all aspects of the financial aid process and eligibility requirements for federal, state, and institutional student aid programs and make necessary referrals to other student service offices. This role will establish and maintain strong working relationships with, and functional knowledge of, other University departments, particularly those that impact the administration of student aid such as: Undergraduate Admissions; The Graduate School; University Registrar; Bursar; and Student Financial Services, World Campus, Ethics and Compliance, and Office of General Counsel.

 

This position is based at University Park.

 

Education and Experience:

Typically requires a Bachelor’s degree and 4 years of related experience, or an equivalent combination of education and experience. A Master’s degree is preferred. Requires high-level knowledge of complex federal, state, and University aid regulations, policies, and procedures. Experience with Microsoft Office 365 and automated student systems is a plus.
